Publish templates

Document Builder can support quote and invoice templates. However, even if Document Builder is enabled and accessible through the user interface, additional one-time configuration might be required.
Go to Manage > Marketplace > Settings.
- If DOCUMENT BUILDER appears in the left menu, see Document Builder prerequisites to confirm whether it is configured for invoice templates, quote templates, both, or neither.
- If DOCUMENT BUILDER does not appear in the left menu, either Contact your AppDirect technical representative to request it, or see Invoice templates and Quote templates to create and manage templates instead.

When users download PDF invoices, the AppDirect platform references invoice templates in Active status to generate them. When Marketplace Managers publish a previously unpublished invoice template, the template status changes from Not Active to Active (the previously published template is deactivated and the status changes to Not active).

You can also edit published templates. The edits do not apply to invoice generation until you publish the templates again.

The following is true:

  • There must be at least one published template for each language that the marketplace supports, and there cannot be more than one.
  • By default when AppDirect enables the Invoice Builder feature, the default invoice templates are in Active status.
  • You can publish default and user-defined templates.
  • After you edit published templates, on the invoice template details page you can view the published version and the most recently updated version (which are the same when you have not edited templates since you published them).

To publish templates

  1. Go to Manage > Marketplace > Settings > DOCUMENT BUILDER | Manage Templates. The Manage templates list page opens.
  2. Click documentName. The invoice details page opens.
  3. Click Publish. (The Publish button is unavailable when the template is published and you have made no edits since you last published it.) The following occurs:
    • When the template was inactive prior to being published, the invoice status changes to Active, the Publish button deactivates until you edit the template again, and the previously published (previously active) invoice template is deactivated and the status changes to Not active.
    • When the template was active and you are publishing edits to it, the invoice status remains Active. The Publish button deactivates until you edit the template again.
