Quote versions in opportunities
β Important: The documentation in this topic refers to a feature or product that is currently in Early Availability status. Features in Early Availability status are only available in production to a limited number of customers based on fit with specific use cases. For more information about Early Availability status, see Product lifecycle phases. If you would like to use the product capabilities described here during the Early Availability phase, contact your AppDirect technical representative.
Quote versions are documents created to define the potential future purchases created from opportunities.
Quote version workflowβ
The following tasks are done as part of the quote version workflow in opportunities.
| Tasks in flow | Description |
|---|---|
| 1. Create opportunity (prerequisite) | Opportunities are created to define a potential purchase for a client. For more information, see Create opportunities. |
| 2. Create quote version | Create a quote version from an opportunity to send to customers. For more information, see Create quote versions from opportunities. |
| 3. (Early Availability) Send quote version for customer approval (optional) | Send the quote version you created to the end-customer for approval. For more information, see Send a quote version for approval. |
| 4. (Early Availability) Revoke a quote sent for approval (optional) | Revoke the quote version that you have sent to a customer as long as it is still in PENDING status. For more information, see Revoke a quote version. |
| 5. Finalize opportunity | When the customer accepts the quote version, you can finalize the opportunity to complete the purchase. For more information, see Finalize opportunities. |
| Optional tasks outside of flow | |
| Download PDF of quote version | For opportunities in OPEN or PENDING status, click the gear icon and select Download PDF. For opportunities in REVOKED, REJECTED, or APPROVED status, click the download icon in the row of the quote version. |
Statusesβ
Quote versions can have any of the following statuses:
| Status | Description |
|---|---|
| OPEN | A newly created quote. |
| PENDING | A quote sent to the customer for approval. |
| APPROVED | A quote approved by the customer. |
| REJECT | A quote rejected by the customer. |
| REVOKED | A quote canceled by the sales agent, or a status change because another version of the quote has been approved. |
Quote summary for physical productsβ
When a quote or Quote Version includes physical products and shipping is configured on the marketplace, the Quote summary displays shipping as a separate line item instead of including it in the sub-total. Shipping appears alongside taxes and other non-item charges so marketplace managers, resellers, and customers can see how the final total is constructed.
π Note: Shipping charges appear on quotes only when shipping is enabled and configured for the marketplace. For more information, see Configure shipping.
Summary fieldsβ
The Quote summary includes the following charges for eligible quotes:
- Items sub-total. Total for product line items, excluding shipping, taxes, and other non-item charges.
- Shipping and handling. Shipping charge for physical products. This row appears when a shipping fee applies, including when the amount is $0.00.
- Taxes and other non-item charges. These appear as configured for the marketplace.
- Total. Sum of the items sub-total, shipping and handling, taxes, and other non-item charges.
Quote editing and Quote Versionsβ
- While editing a quote, the Quote summary updates when you add or change the shipping address, so the Shipping and handling amount reflects the current address selection.
- On a saved Quote Version, the Quote summary shows the Shipping and handling amount captured when the Quote Version was created.
π Note: Quote Versions created before this feature was available do not store items sub-total and shipping separately. The summary falls back to the previous sub-total display for those versions.
Quote PDFsβ
Generated quote PDFs can display Items sub-total and Shipping and handling separately when your quote PDF template includes the Items Subtotal and Shipping Fees Total tokens. For more information, see Quote templates.
