Manage Google Workspace contract renewal settings with Subscription Update V2
Marketplace Managers, sales agents, and resellers can manage Google Workspace subscription renewal settings through the Subscription Update V2 flow. This flow replaces the custom Contract Renewal Setting page, consolidates renewal management into the standard subscription update experience, and aligns the marketplace with the renewal options in the Google Admin console.
📝 Note: This capability requires Subscription Update V2. Contact your AppDirect technical representative to enable Subscription Update V2 and Google Workspace renewal management. Neither is enabled by default.
Supported renewal updates​
Assisted sales users can schedule the following renewal updates for existing Google Workspace subscriptions:
- Auto-renew the commitment contract monthly with fewer licenses
- Auto-renew the commitment contract annually with fewer licenses
- Auto-renew the commitment contract monthly with the same number of licenses
- Auto-renew the commitment contract annually with the same number of licenses
- Switch to the Flexible plan
Prerequisites​
Before you manage Google Workspace renewal settings through Update V2, confirm the following:

Subscription Update V2 is active on the marketplace. For more information, see Update subscriptions v2.

Edition-level restrictions are enabled for all Annual and Monthly editions of the Google Workspace product. For more information, see Edition, unit, and contract restrictions. Enable the following:

- This edition can be upgraded
- This edition can be downgraded
- This edition can be canceled

Price per unit
- Allow customers to decrease units
- Allow customers to increase units

Google integration is configured. For more information, see Sell and manage Google products.

If you are not using the syndicated Google Workspace product, the product is updated to the latest version.

The customer has an active Google Workspace subscription on the marketplace.
Important notes​
⚠️ Warning: Do not make subscription-level changes—such as edition changes, seat adjustments, or renewal setting changes—directly in the Google Admin console. Those changes can cause data discrepancies between Google and the marketplace. If such changes were already made, contact Support.
- If you perform a subscription update after you save a renewal option—for example, an edition change, seat update, user assignment, or user unassignment—the marketplace deletes the saved renewal order. Re-select and save the renewal option so the settings reflect the latest subscription. If you do not, the subscription renewal fails.
- The marketplace does not support renewal of subscriptions with zero assigned licenses. Cancel the subscription instead.
- For Google Online Partial Domain Licensing: if a Google license is already assigned to an administrator and that user later purchases additional subscriptions, the license is not assigned for the new subscriptions in Google or in the marketplace.
To manage Google Workspace contract renewal settings

Go to Manage > Marketplace > Dashboard > Billing | Orders. The Order page opens.

Search for and click the Google Workspace order whose renewal settings you want to update. The order details page appears.

Click the Update Subscription tab, then click Try new experience. The Update V2 experience opens for the selected subscription.

Click Edit in the Update Subscription section. The schedule order form appears.

Schedule the order by selecting the following:
- Plan—The renewal plan, for example Annual or Monthly commitment, or Flexible.
- Number of seats—The number of licenses for the renewed subscription. The number of users displayed is the number of seats that are scheduled when you place the contract renewal order.
- End-of-contract date—The date the current contract ends and the new renewal takes effect.

Click Save.

After validations succeed, Finalize is enabled. Click Finalize to schedule the renewal order.
ℹ️ Information: If validations fail, a message appears. Resolve the issues, then try again.
To view a scheduled renewal order
After you schedule a renewal, open the Order History tab on the order details page. The scheduled renewal order lists the plan, seats, and contract dates. End users and Marketplace Managers can view this information.
To apply a discount code to a scheduled renewal order
Apply the discount code on the Update Subscription page when you schedule the renewal, then submit the order.
📝 Note: Apply discount codes while you schedule the renewal. You cannot add a discount code after the renewal order is finalized.
Frequently Asked Questions (FAQs)​
Why is the renewal option not available for Google Workspace Flex subscriptions?
Google supports changing contract renewal settings only for non-Flex editions. Flex subscriptions are billed monthly based on actual usage and do not require renewal scheduling.
How do I sync renewal behavior for migrated customers?
- If the subscription auto-renews on the same plan and with the same number of seats as the current contract, no action is required.
- If the subscription should auto-renew on a different plan or with a different number of seats, use Update V2 to schedule the renewal. After you save the option, confirm the renewal order on the Order History tab. You can do this only after the subscription is migrated on the marketplace.
How do I resolve the "No changes were made" error when updating renewal settings?
Soft-cancel and remigrate the subscription on the marketplace, then follow the steps in To manage Google Workspace contract renewal settings.
How do I resolve data discrepancies caused by changes made directly in the Google Admin console?

If seats or editions were updated in the Google Admin console:
- Update the seat count or edition on the marketplace by using the Update Subscription flow or remigration.
- If a renewal option was previously saved, re-select the desired contract renewal option through Update V2.

If contract renewal settings were updated in the Google Admin console: Save the desired renewal option through Update V2 to bring the marketplace back in sync.
