Add or edit off-platform payments
Some marketplaces collect payments for unpaid invoices off-platform. For example, by check, cash, or off-platform bank transactions (see Enable pay by check for companies). Marketplace Managers manually change the status of those invoices from Unpaid to Pending, Failed, or Successful when they receive payments. For example, if a customer delivers a check, you can mark the payment as Pending until the check clears. Once the check clears, you can mark the payment as Successful. If the check does not clear, you can mark the payment as Failed.
A subscription with an invoice in Pending status does not trigger a suspension of the customer's subscription after the payment due date or grace period. If you change an invoice from Pending to Unpaid after the payment due date or grace period, the customer's subscription is suspended.
You can add an ID and a note that contains additional information about the payment. End-users cannot see the note. Only Marketplace Managers can see the note.
To add or edit an off-platform payment
📝 Note: If the AppDirect logo appears in the upper-left corner of the page, when Manage > Marketplace appears in this topic, click the grid icon > Switch to | Store, instead.
- Go to Manage > Marketplace > Billing | Invoices > invoice number.
- Click Add Off-platform Payment or Update Off-platform Payment to add or change the status of an off-platform payment.
- Select Pending, Successful, or Failed.
The status is displayed in the in Payments table of the invoice.
When you click Successful, the invoice status changes paid. You cannot edit a paid invoice.
The status appears in the Payments History table. - (Optional) In the Transaction ID field, you can enter a unique ID for the payment. The Transaction ID is an alphanumeric reference ID that you can create for the payment for various business reasons. For example, you can add a check number for payments made by check. The transfer ID appears in the Payment Overview report. See Payment overview report.
- (Optional) In the Internal note field, you can enter additional information about the payment. Only Marketplace Managers can see the note. The note appears in the Payment Overview report in the Response Message text field. See Payment overview report.
- Click Confirm.
