Reconcile payouts

Marketplace Managers can view reconciliation details and record payouts made to vendors when their marketplace is responsible for payouts.

📝 Note: When a marketplace has a contract with a vendor or AppDirect to sell products, the contract terms determine the payout ownership—that is, which party collects revenues associated with sales of the Developer’s product and pays out revenue shares to each of the parties involved. See Reconciliation for more details on payout processes.

To view and manage reconciliation

Complete the following procedure to view reconciliation details and to record payouts.

  1. Go to Manage > Marketplace > Dashboard > Billing | Reconciliation. The Reconciliation page opens. Three tables display different views: Reconciliation, Payouts, and Revenue shares.
  2. (Optional) To view details for a specific period in any of the tables, click Show filters, then define a date range. The creation date is defined as the date payment occurred.
  3. (Optional) To download a copy of any of the tables, click Download CSV. If you defined a date range in the previous step, the downloaded file contains only the data generated between those dates.
  4. (Optional) View reconciliation details in the Reconciliation table. This table gives you a consolidated view, for each Developer, of all invoices for all customers who used each Developer’s applications during the billing period. During the reconciliation process, each line item is processed individually and application revenue share values are applied to the total for each party.
    Following is a description of each column in the Reconciliation table:

VendorThe name of the application Developer.
Total paymentsTotal sum of all payments made by customers for each Developer.
Marketplace ShareYour marketplace’s share of the revenues.
Vendor ShareThe Developer’s share of revenues.
AppDirect ShareAppDirect’s revenue share.
Accounts PayableThe outstanding balance to be paid to the Developer. The same amount appears in the Developer Share column. It only appears in this column if the Developer’s share has not yet been paid.
Network PayableIf AppDirect has payout ownership (for network products), the amount in this column reflects the amount AppDirect owes to the Developer.
Payout OwnershipThe party responsible for collecting revenues associated with sales of the Developer’s product and for paying out revenue shares to each of the parties involved. The marketplace is assigned payout ownership when it has a direct relationship with a Developer. AppDirect has payout ownership when the marketplace is selling a product contained in AppDirect’s Network Catalog. See Reconciliation for more information on payout ownership.

  1. (Optional) In the Reconciliation table, you can record payouts to Developers when you sell a Developer’s product directly on your marketplace rather than through the AppDirect network catalog. Payout ownership is set by the AppDirect Billing Operations team and is displayed in the last column of the Reconciliation table. Marketplace payments to Developers are always done off-platform. To record an off-platform payment after it has been made:

    1. Click Record Payout. The Payout dialog opens.
    2. Select the payment option. The choices are:
      • Remaining balance—Records the entire balance as paid.
      • Payments between a specified date range—Records only payments between specified dates as paid.
    3. Click Record Off-platform Payout. Your payment is recorded and you are returned to the Reconciliation page.
  2. (Optional) View payout details in the Payouts table. This table contains information for each payout made by the marketplace to Developers. It does not include payouts made for network catalog products. Following is a description of each column in this table.

Column headingDescription
Payout IDAn automatically-generated ID related to each payout. You can use this ID to cross-reference the payment amount against the Payment details report, which includes the Payout ID.
DateThe date the payout was made. Only payouts that have been made and recorded in the Reconciliation table appear here. See the previous step for information on recording payouts.
DevThe Developer of the application.
OwnerThe name of your marketplace.
Pre-taxThe total paid out before tax.
Post-taxThe total paid out after tax. The merchant (marketplace) is responsible for all applicable taxes resulting from sales on its marketplace.
StatusThe status of the payment. When an off-platform payout is successfully made and recorded, the status is off-platform.
  1. (Optional) View revenue share details in the Revenue Shares table. The Revenue Shares table describes, for each product sold by your marketplace, the percentage revenue share for each party involved in the sale. You have two viewing options:

    1. View the table. The following table describes each column.

      Column headingDescription
      IDAn ID that is automatically assigned after a product is made available to the marketplace.
      ProductName of the Developer’s application.
      Developer %The Developer’s revenue share expressed as a percentage, set according to contract terms.
      Marketplace %The marketplace’s revenue share expressed as a percentage, set according to contract terms.
      AppDirect %AppDirect’s revenue share expressed as a percentage, set according to contract terms.
      StrategyHow revenue shares are calculated. This is done based on the percentage of the Developer list price.
      Start DateEffective date when the current revenue sharing strategy began.
      End DateDate when the revenue strategy ended. If the strategy has not yet ended, the value that appears in this column is Ongoing.
    2. (Optional) Click any row in the table to display the revenue shares history for the selected product. A revenue share table opens (see the previous table for descriptions). You can click Download CSV or view details of this specific record as displayed in the table, including:

      • Product information—The Developer's name and product information.
      • Active Revenue Shares—The % share for the Developer, marketplace, and AppDirect.
      • Revenue Shares History—Includes the status, ID, reason for changes to revenue shares, and revenue shares for each party, the strategy, start date, end date and publisher.
