Invoices

Invoices are generated when the following events occur:

  • End users purchase products.
  • Recurring subscriptions become due for invoicing.

đź“ť Note: Invoices are not generated for free trials.

Invoice records appear in the Manage Invoices table. The invoices that appear is dependent on user role (permissions to view invoices are not configurable):

  • Marketplace customer companies—Company Administrators and Billing Administrators can view all invoices issued to all users in the company. End users (users who are not Company Administrators or Billing Administrators) can view invoices for all the purchases that they made.
  • Marketplace owners—Marketplace Managers, and the users in their company with Company Administrator or Billing Administrator roles, can view all invoices issued to marketplace customers. This includes invoices issued to all members of their company for purchases that they made.
  • Reseller Managers—Reseller Managers can view invoices for purchases that Resellers made for themselves (the reseller company is the invoice payee).
  • Resellers—Resellers can view invoices for their own purchases and reseller customer company purchases.

An enhanced invoice feature is enabled by default for new marketplaces, and available for all marketplaces. When it is enabled, the Invoice Settings menu item appears at Manage > Marketplace > Settings and the following is true:

  • Resellers can use the Invoice templates feature, if it is enabled.
  • Marketplace Managers have more options to configure default invoice templates (see Invoice settings) and, when enabled, Marketplace Managers can give Resellers permission to configure default invoice template content (see Configure Reseller role permissions).
  • Customers view invoices at unique URLs at Manage > Account > Invoices > {invoiceID} that they can share with other users. When logged-off recipients try to view invoice URLs, they receive a prompt to log on. When logged-on recipients try to view invoice URLs, and they have permission to see the invoices, the invoices appear in the enhanced view. When they do not have permission to see the invoices, an error advises them to contact the administrator if they require access.
